About the role

Are you a highly organized, friendly, and proactive individual who thrives in a community-focused environment? We are seeking an Administrative Assistant to support our mission-driven team. This role is ideal for someone who enjoys working with people, managing details, and contributing to meaningful programs that make a difference in the community.

Key responsibilities

  • Greet walk-in clients and visitors
  • Answer phone calls and respond to email inquiries
  • Provide accurate information and record client details
  • Maintain and update activity tracking sheets
  • Book rooms for IES, Prep for IES, and staff meetings
  • Support logistics for information sessions and workshops
  • Assist in promoting programs (e.g., sending emails to networks, updating flyers)
  • Research and maintain a database of community resources
  • Conduct follow-up calls with program graduates to collect feedback and reporting data
  • Organize and analyze program data
  • Collaborate with internal and external program teams
  • Participate in training sessions to enhance skills and stay current with best practices
  • Perform various other duties as required

Skills, knowledge, and experience

  • Strong planning and organizational skills; able to multitask and perform well under pressure
  • High level of integrity and discretion when handling confidential information
  • Friendly, approachable, and positive attitude with a genuine willingness to engage with others
  • Well-developed interpersonal skills to interact professionally with a diverse range of people
  • Proactive, self-motivated, and able to work independently and collaboratively
  • Proficient in Microsoft Office Suite, MS 365, and online meeting platforms (e.g., Teams, Zoom)
  • Advanced written and verbal communication skills in English

Qualifications

  • Post-secondary education in administration, office management, or a related field (or equivalent experience)
  • Minimum of 2 years of experience in an administrative or office support role
  • Experience working in a non-profit, community-based, or educational setting is an asset
  • Familiarity with client databases or CRM systems is an asset
  • Ability to work flexible hours, including occasional evenings or weekends, as needed
  • Ability to work at both of our locations, as needed
