Position Summary
We are seeking an experienced, detail-oriented Accountant/Bookkeeper to join our team and manage the day-to-day accounting and financial administration of our organization using SAGE 50.
With an annual operating budget of approximately $6 million, our organization delivers multiple programs supported by a range of funding sources and budget lines. This position requires someone who is comfortable managing both the detail of daily bookkeeping and the broader accounting responsibilities of a complex nonprofit environment.
The successful candidate will be organized, accurate and dependable, with strong accounting and bookkeeping skills and the ability to manage competing deadlines. They will work closely with senior leadership and program staff to ensure our financial information is timely, accurate and useful for decision-making.
Key Responsibilities
Accounting & Bookkeeping
- Manage day-to-day bookkeeping and maintain accurate financial records
- Manage accounts payable and accounts receivable
- Prepare and process payments, deposits, invoices and other financial transactions
- Complete bank and credit card reconciliations
- Maintain the general ledger and ensure transactions are appropriately coded
- Monitor expenditures across multiple programs, funding sources and budget lines
- Maintain supporting documentation and strong financial records
Payroll
- Manage and process payroll accurately and on schedule
- Maintain payroll records and process payroll-related changes
- Reconcile payroll and benefit accounts
- Complete required payroll remittances and reporting
Financial Reporting
- Prepare monthly financial statements and reports
- Monitor actual results against organizational and program budgets and identify significant variances
- Prepare financial information and reports for program managers and senior leadership
- Prepare quarterly financial reports for the Board of Directors, including budget-to-actual reporting and explanations of significant variances
- Support cash-flow monitoring and financial forecasting
- Assist with annual organizational and program budget preparation
Funding & Program Financial Management
- Track revenues and expenditures across multiple funded programs
- Ensure expenses are appropriately allocated to programs, funding agreements and budget categories
- Support preparation of financial reports for government and other funders
- Monitor program spending and flag potential over- or underspending
- Work with program staff to ensure they have accurate and timely information about their budgets
Year-End & Audit
- Prepare schedules, reconciliations and supporting documentation for the annual audit
- Work with external auditors and respond to audit requests
- Assist with year-end adjusting entries and financial reporting
- Support compliance with organizational financial policies, funding agreements and internal controls
Qualifications & Experience
We are looking for someone who brings:
- Post-secondary education in accounting, finance, bookkeeping or a related field, or an equivalent combination of education and experience
- Several years of hands-on accounting/bookkeeping experience using SAGE 50, ideally within a nonprofit or similarly complex organization
- Demonstrated experience managing accounts payable, accounts receivable, payroll and general ledger functions
- Experience preparing monthly and quarterly financial statements
- Strong understanding of budget-to-actual reporting and variance analysis
- Experience managing accounting across multiple programs, cost centres, funding sources or restricted budgets
- Strong Excel skills and experience using accounting and payroll software
- Excellent attention to detail and a high degree of accuracy
- Strong organizational and time-management skills
- Ability to manage multiple deadlines and priorities
- Ability to explain financial information clearly to colleagues who may not have a financial background
- Strong judgment, discretion and commitment to confidentiality
Assets
- The following would be considered assets:
- Experience working in a nonprofit or charitable organization
- Experience with government-funded programs and funder financial reporting
- Experience preparing financial information for a Board of Directors
- Familiarity with nonprofit revenue recognition, restricted funding and allocation of shared costs across programs
- Accounting designation or progress toward an accounting designation
We offer competitive salaries ($63,000-$70,000/year) based on experience and a great work culture!
