The opportunity

The Program Coordinator is a key, participant-facing role responsible for supporting the day-to-day delivery and coordination of the Fresh Start program, an employment readiness initiative focused on preparing individuals for careers in the food and beverage manufacturing sector.

Working closely with the Program Manager, the Program Coordinator leads outreach, supports participant intake and selection, and coordinates program activities to ensure a positive and engaging participant experience. The role also ensures accurate data collection and tracking to support program outcomes and funding requirements.

This is a hands-on, operational role requiring strong organization, communication, and a participant-centered approach.

Key responsibilities

Outreach and Recruitment

  • Support outreach efforts to promote the Fresh Start program to job seekers, community agencies, and referral partners
  • Build and maintain relationships with community organizations, employment services, and local partners
  • Coordinate and support information sessions and respond to participant inquiries
  • Support inclusive recruitment strategies targeting individuals facing barriers to employment

Participant Intake, Screening and Selection

  • Support participant intake processes, including applications, eligibility screening, and interviews
  • Coordinate participant selection in alignment with program criteria and targets
  • Maintain accurate, organized, and confidential participant records
  • Support onboarding and orientation of new participants

Program Delivery and Participant Experience

  • Coordinate and support daily program activities, including training sessions, workshops, and cohort schedules
  • Act as a key point of contact for participants throughout program delivery
  • Monitor attendance, participation, and engagement
  • Provide ongoing support, encouragement, and referrals to appropriate services
  • Identify and escalate participant challenges or barriers to the Program Manager

Monitoring, Data and Reporting

  • Maintain accurate and up-to-date participant records, including the Participant Activity Tracker and attendance logs
  • Ensure timely and accurate data entry to meet reporting and funding requirements
  • Support the Program Manager in tracking program metrics, including:
    • Enrolment
    • Completion
    • Employment outcomes
    • Retention indicators
  • Assist with basic reporting and documentation for internal and external stakeholders

Program Coordination and Operations

  • Support coordination of schedules, logistics, facilitators, and program materials
  • Assist the Program Manager in maintaining alignment with program timelines and deliverables
  • Communicate regularly with participants, partners, and internal staff
  • Identify and help resolve day-to-day operational issues to ensure smooth program delivery

Continuous Improvement

  • Gather participant feedback to support improvements to program delivery and participant experience
  • Contribute to the development and refinement of tools, templates, and processes
  • Support program evaluation and continuous improvement initiatives

Qualifications and Experience

  • Required: 2–4 years of experience in employment services, community-based programming, or program coordination
  • Experience working with diverse populations, including individuals facing barriers to employment
  • Strong organizational, coordination, and time management skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong interpersonal and communication skills
  • Experience with data tracking, documentation, and reporting systems

Assets

  • Experience in employment readiness, workforce development, or training programs
  • Familiarity with funded program reporting requirements and outcome tracking
  • Knowledge of the food and beverage manufacturing sector (or similar industries)
  • Experience supporting participant engagement and retention
